Privacy Policy

What we collect, why we hold it, how long it stays and what you can ask us to do about it — written to be read rather than to be survived.

This policy explains how MarineIT handles personal data. It covers this website, our dealings with prospective clients, and the platform itself — where, for the most part, we handle data on behalf of our clients rather than for our own purposes.

01Who we are

MarineIT provides a commercial platform for dry bulk shipping. Our registered office is at Sharjah Media City, Sharjah, United Arab Emirates. For any question about this policy or about personal data we hold, write to sales@marineit.ai.

02Controller and processor

This policy covers two distinct relationships, and the difference matters for your rights.

Where we are the controller —
personal data collected through this website, from enquiries and demo requests, and in the course of managing a client relationship. We decide why and how that data is used, and this policy governs it.
Where we are the processor —
personal data inside a client's own account: the correspondence, counterparty details and voyage records they put into the platform. Our client is the controller of that data. We act on their documented instructions under a data processing agreement, and any request about it should be directed to them.

03What we collect

Contact details —
name, work email, company, phone number and role, where you give them to us through a form or in correspondence.
Enquiry content —
what you tell us about your desk, your fleet and what you are trying to solve, so we can answer usefully.
Account data —
for platform users, the identity and access information needed to authenticate you and apply your permissions.
Technical data —
IP address, browser and device information, and pages visited. See the Cookie Policy for how this is gathered and what you can decline.
Client content —
processed on behalf of clients, not collected for our own purposes. It is covered by the processor terms above.

04Why we use it, and on what basis

We do not sell personal data, we do not share it with advertising networks, and we do not use it to build profiles for marketing.

To answer you —
responding to an enquiry or arranging a demo, on the basis of steps taken at your request prior to a contract.
To provide the service —
operating, securing and supporting the platform for clients, on the basis of performing our contract.
To improve and secure —
understanding how the site and product are used and protecting them from abuse, on the basis of our legitimate interests, balanced against your rights.
To meet obligations —
keeping records we are legally required to keep, on the basis of legal obligation.

05Material sent for a demo

If you send us a circular, a workbook or a voyage so we can show you the product working on your own data, it is used for that session and then deleted. It is not added to any dataset, not used for training, and not retained for reference.

06AI and your data

Client content — circulars, recaps, fixtures, rates and financials — is never used to train, fine-tune or evaluate any model. Parsing runs against that data; it does not learn from it. One client's information is never visible to another, including in aggregate or anonymised form, and we do not aggregate client data into an index, benchmark or market report for anyone else.

07Who we share it with

We share personal data only with service providers who help us run the business and the platform — hosting and infrastructure, email, and the market and vessel data sources the product uses. Each is bound by contract to process data only on our instructions and to protect it appropriately. A current list of sub-processors is available on request, and material changes are notified in advance.

We may also disclose data where required by law, or to establish or defend legal claims.

08Where it is held, and for how long

Hosting region is agreed with each client before onboarding; a single-tenant deployment in a nominated region is available. Where personal data is transferred across borders, it is done under appropriate safeguards.

Enquiry data is kept while a conversation is live and for a reasonable period afterwards. Client content is kept for the term of the contract and deleted on the schedule agreed in it, with backups clearing on their own rotation. Security and access logs are kept for a fixed period.

09How it is protected

Data is encrypted in transit and at rest, tenant records are separated at the data layer, access is role-based and least-privilege, and administrative activity is logged. The technical detail is set out on our security page.

10Your rights

Subject to applicable law, you may request access to the personal data we hold about you, ask for it to be corrected or deleted, object to or restrict certain processing, and request a copy in a portable format. Where we rely on consent, you may withdraw it at any time.

Write to sales@marineit.ai and we will respond within the period the applicable law requires. If we hold your data as a processor for one of our clients, we will direct you to them and assist them in responding.

11Changes to this policy

If we change this policy materially we will update the date above and, for clients, give notice in advance rather than announcing it afterwards.
